Many fun activities are allowed as long as they are cleared through the Special Event Process.

  • Exclusive for Aftercare/Summer programs.
  • Board Approved Procured Vendors are the ONLY vendors allowed to provide good/services on any District property.

What is considered a Special Event?
Any activity or event that may involve student or the surrounding community participation while an outsourced vendor will provide goods or services on District property.

Why do I need to register my Special Event with Risk Management?
Risk Management monitors Special Events to reduce liability to the District, ensuring vendors are adequately insured by obtaining proof of insurance. Registering your activity or event will help determine whether the insurance obligations fall on OCPS, third parties, sponsors, or participants.

Additionally, the OCPS Office of the Fire Marshal requires prior inspections and permits for certain activities.

The Board Approved Vendors are the ONLY APPROVED VENDORS allowed to provide goods/services on District Property.

An entity with a Vendor ID number and a PROCURED Vendor are different. Anyone who registers is given a Vendor ID Number by default as this is an accounting function, not a procurement award. Should a vendor want to be added to the Board Approved Procured Vendor list they MUST go through the process within the Bid Solicitation Period.

Any vendor that would like to be directly contacted to receive information on the process on how to become Board Approved when the next Bid Solicitation goes out they must email Risk Management at [email protected]. We will add them to the potential vendor contact list during the next Bid Solicitation Period.
